Define permissions before combining admin workflows

A shared interface still needs explicit authorization. Define roles, actions, data scope and audit requirements, then enforce them on the server.

Define permissions before combining admin workflows

List allowed actions before naming roles

A single administrator role can grant too much access to someone handling only part of an operation. List actions such as viewing, editing, approving, exporting and deleting, then map the tasks people actually perform.

For example, support staff could read inquiries without changing settlement records. Branch staff might access only their location while central staff view several. These are illustrative role choices.

Include data scope alongside roles and actions. Reading personal records, organization records and every record are different permissions. Use all three dimensions when adding a role.

Separate interface guidance from enforcement

Hiding a button helps people understand available actions; the server must decide whether each request is allowed. Include requests with another user’s identifier and sessions whose role changed after a screen was opened.

OWASP authorization guidance recommends deny-by-default, least privilege and authorization on every request. Authentication does not establish permission for every record.

Check the current user, requested action and target scope together, and return only the information required. A shared interface should not require downloading all records and merely hiding unauthorized ones on the client.

Choose interface boundaries from the work

Adding operational actions to a shared view can preserve context. Separate administration may be clearer for bulk work, independent approvals or intensive reporting.

Whichever interface is chosen, keep the data model and authorization rules consistent. The same operation should not gain a wider scope merely because it is invoked from a different screen.

For consequential actions, expose the target and expected result before confirmation. Record the actor, target and time, and define access to those records. The decision should support reliable work rather than pursue a smaller screen count for its own sake.

Test denied paths alongside allowed paths

Testing only an administrator account leaves denied paths unexamined. For every role, check both permitted and forbidden actions.

  • Try a target identifier belonging to another organization.
  • Revoke permission and retry from an already open screen.
  • Compare read and export scope, and single-item and bulk operations.
  • Confirm a rejected request did not mutate the record.

Derive expected outcomes from the permission matrix. Have the people responsible for the work review that matrix so tests and implementation do not simply repeat the same mistaken assumption.
